  • Overview

    As Octopus has grown, the number of relationships with third parties has grown dramatically. These relationships are spread across numerous sectors and are currently owned by various parts of the business. The role is to work with key stakeholders across the business to centralise, lead and support all legal aspects for negotiating and closing commercial contracts negotiations and from a procurement perspective drive efficiency, generate savings opportunities and to deliver against our supplier risk management agenda.


    The role sits within the Legal and Company Secretariat Centre of Expertise which leads the management of the group’s legal and governance risk matters.


    The role is divided into 4 key areas:



    • Drafting, negotiating and agreeing contractual terms with third party suppliers which protect Octopus from a commercial and contractual perspective including strategy, risk and mitigation analysis, internal reviews and liaison with all subject matter experts in their various disciplines; and
    • Stay abreast of legal developments affecting the company, its clients, and industries and synthesize the information to incorporate it into the company's transactional best practices
    • Educate company executives as regards legal and risk management issues
    • Represent the company's interests and interface directly with external counsel with clear and concise instructions and management of appropriate legal fees costs.
    • Strategize with company executives prior to client negotiations
    • Structure third party transactions to be most advantageous to the company from a legal and business perspective
    • Counsel, advise, and consult company executives based on the accurate interpretation of contract documents and the facts of a business opportunity
    • Develop internal guidelines, handbooks, best practice guidelines, toolkits, and packaged knowledge on various legal and business issues
    • Develop subject matter expertise in one or more areas that benefit Legal and/or our business
    • Support, promote and implement Centre of Expertise initiatives
    • Be responsible for updating, managing and utilizing Gatekeeper – the documentation registry for all contracts across the business.


    Governance, Due Diligence & Supplier Risk:

    • Maintain and monitor adherence to Octopus Group’s procurement process ensuring adherence across the business to ensure policy compliance.
    • Support business operations to resolve SLA breaches of contract and provide guidance to resolutions.
    • Monitor performance & risks associated with strategic suppliers in conjunction with business users.

    Procurement & Supplier Management:

    • Create, challenge, enhance and standardize procurement practices across the business to ensure conformity of approach, generate economies of scale and deliver better value for money.
    • Lead, support and manage the tendering process for strategic initiatives.
    • Oversee procurement system and data strategy; Implement new tools to support the function and the wider business.
    • Realize and deliver cost savings, together with a range of additional benefits including improved supplier performance, improved quality of service and total cost of performance.
    • Drive innovation, transformation, and identify efficiency opportunities to achieve savings targets.
    • Work collaboratively with finance on departmental and wider organisational forecasts, where procurement has an impact.
    • Manage the ongoing contractual administration of all Octopus Group’s contracts through the maintenance of Octopus’s contract management system.


    Relationship Management:

    • Build and maintain strong internal and external working relationships to gain buy- in and engagement with key stakeholders across all levels of the organization.
    • Build strategic relationships with key suppliers at a senior level and lead processes to ensure value is driven from these relationships.
    • Maintain relationships with existing suppliers and source new suppliers as and when required.
    • Provide market insights to your stakeholders regarding benchmarking and continuous improvements.


    Job Specific Experience/Technical Skills/Abilities


    • Proven experience from a law firm or working in house in a fast-paced corporate legal/transaction group/environment with around 6/7 PQE, but will consider candidates with higher or lower PQE if they can demonstrate ability to fulfil the requirements of the role.
    • Proven ability to efficiently manage a large volume of transactions
    • An understanding of Intellectual Property issues as they apply to consulting, systems integration and outsourcing transactions.
    • Independently manage drafting transactional documents and correspondence
    • Able to present alternatives and proposed solutions
    • Responsive and follows through on commitments
    • Strong time management, prioritization, and organizational skills
    • Ability to apply judgement to broaden influence
    • Excellent oral and written communication skills
    • Proven experience of procurement/supplier and relationship management
    • Excellent negotiation skills and the ability to lead key negotiations at a senior level
    • Proven track record of delivering cost efficiencies with third party suppliers
    • Extensive experience managing complex supplier and organisational relationships
    • A track record of delivering change, preferably within a FS environment, although this is not essential
    • Ability to be part of cross functional teams
    • Able to shape projects and secure resources
    • Confidence to manage budgets and undertake financial forecasting
    • Excellent communication, presentational and interpersonal skills
    • Self-motivated and proactive
    • Comfortable with complexity and ambiguity and an appetite to address the toughest commercial challenges
    • Must be curious and seek to instil automated and digital solutions wherever appropriate
    • Must be comfortable in using technology and leveraging digital applications and media platforms
