    Executive Assistant – Octopus Energy Investments

     

    Octopus Energy Investments (OEI) is one of the largest investors and managers of renewable energy projects with c£2bn of assets under management. We are an active investor and therefore continue to grow this portfolio through our operational activities including solar power parks, anaerobic digestion systems (AD), wind farms and gas fired generators (also called Reserve Power, RP). This is a wide and varied role with the main focus on providing support to the Senior Management in order to enable them to undertake the investments into new assets and monitoring of the existing assets.

    Responsibilities

    Essential job functions

    • Extensive diary management for 5 senior team members’ meetings both internal and external
    • Booking travel (mainly UK) and itineraries
    • Being the gatekeeper for incoming enquiries by email and telephone and handling such in a professional and helpful manner
    • Supporting senior team members with ad hoc tasks such as printing, copying, binding, posting and minute taking
    • Preparing PowerPoint or other presentation materials as necessary
    • Managing the team holiday tracker, to ensure teams are sufficiently resourced before being approved by their manager
    • Handling of sensitive and confidential information shared during OEI ManCo meetings and from senior members of the team
    • Organise team events such as celebrations, off sites and site visits – working with relevant external counterparties to delivery required logistics such as transportation
    • General support for the wider team including meeting room bookings and general administrative requests
    • Arranging the necessary resources and logistics as required such as IT equipment and refreshments as and when required

    Qualifications

    Job Specific Experience

    • Proven track record supporting senior management team within a busy and document heavy environment – financial services beneficial but not essential
    • Experience in managing complex and ever changing diaries
    • High level proficiency in Word, Excel and PowerPoint
    • Ability to handle sensitive/confidential information (e.g. regarding fund, investment and investor information)
    • Have a high level of attention to detail and confidence to challenge potential errors
    • Flexibility is essential, in terms of the need to switch activities to meet team members’ needs
    • Capable of organising and coordinating multiple requests and high volumes of documentation
    • Ability to work autonomously and as a team player
    • Proactive, approachable and friendly manner
