About the role

The HR Operations Team play an integral part in the Octopus growth story and you will have the opportunity to play a really key part in helping with that growth. You will support the HR team and, occasionally the wider Organisational Development department and be responsible for the end to end administration of the on-boarding process across the business.

This is a really busy and fast paced role that enables you to build great relationships with the team and the business. You will also be the key in building great partnerships with colleagues, agencies, reference checking companies and candidates.


Essential Job Functions

You will be responsible for creating an amazing experience for all our new employees at Octopus. You’ll spend the greater portion of your time coordinating and scheduling new starters and managing the on-boarding process, which will include:

  • Confirming start date and all pre-start date paperwork
  • Managing the background reference checking process – uploading candidates, monitoring progress ahead of joining, escalating issues where necessary, managing the businesses expectation and lead time whilst communicating with the candidate
  • Candidate contract generation
  • First point of contact for new joiners and new starter administration and onboarding including: collecting payroll information (P45s & P46s), any right to work documentation, welcome meeting, discussing benefits and systems
  • HR data entry via Select HR system
  • Managing electronic and hard copy files

The role will also include:

  • Relationship management with internal business areas, interviewers, recruitment agencies and direct/employee referral candidates
  • Ad hoc project work e.g. agency events, interview training projects, system work etc.


Job Specific Experience/Technical Skills/Abilities

  • You’ll have worked within a busy people focused administrative role in the past (ideally within a HR environment) and are likely to be someone who really loves to keep busy
  • You get lots of satisfaction from juggling a busy workload and manage to keep calm even when under pressure
  • You should have an openness to change and adoption of new systems and processes
  • You’ll be the type of person whose reflex will always be to help, but, when it’s needed you aren’t afraid to stand your ground
  • You’re meticulous and hate mistakes (although we understand they happen)
  • Excel is definitely not a foreign language to you; analysing and interpreting data in a way that will create efficiencies comes naturally
  • You’re not afraid to pick up the phone and chat to people and are great at building rapport quickly with colleagues and candidates alike
