About the role


The role of Executive Assistant is principally to support 2 directors: the Group Finance Director and the Group Director of Corporate Development. The role will involve extensive diary management and meeting arrangements as well as being the go-to person for these two senior executives. There will be occasional ad hoc administrative support for the broader Group Finance team of 10. Your role will underpin the smooth-running of a busy team which works with all parts of the wider Octopus group. The team produces and manages confidential materials for the firm’s senior leadership and its shareholders, and is responsible for several complex projects including joint ventures and mergers and acquisitions.

The candidate will be working in a fast paced, deadline-driven, professional environment. They will be extremely well organised and able to juggle and prioritise their work load accordingly.


  • Extensive diary management: arranging and coordinating internal and external meetings including Committee and Board meetings, often requiring proactive resolving of diary clashes. This will include coordinating an annual calendar of quarterly Business Reviews and Financial reviews for each of the businesses in the Octopus group involving a large number of senior executives.
  • E-mail management: Monitor and manage Outlook Inboxes, including prioritising between urgent issues and responding where necessary to facilitate the Group Finance Director’s 4 day working week.
  • Assembling, creating and reformatting high quality, client-ready PowerPoint presentations, operating with multiple contributors providing a range of input.
  • Locating briefing papers, minutes and presentations from a range of sources. Printing and binding briefing documents and presentations.
  • Supporting the directors in seamless delivery and execution of their objectives by taking the initiative to solve challenges and proactively making offers of help which will build and maintain strong working relationships with the directors, their team members and with a broad set of core support teams in the group - including facilities and reception teams and c.10 other Executive Assistants to other directors.
  • Other ad hoc activities may include:
    • Taking the minutes in confidential Board or Committee meetings;
    • Arranging senior management offsite meetings and conferences;
    • Booking complex and fluid travel arrangements;
    • Offering solutions to personal administrative challenges for the directors.


  • Prior experience supporting senior management in a financial services organisation.
  • Previous exposure to a corporate finance, mergers & acquisitions or legal environment would be an advantage, or another working environment where the role included similar legal and financial transaction documents.
  • Experience and discretion required to support confidential projects and reports.
  • The judgement and personal maturity to solve problems, juggle several tasks at once and balance competing priorities in a fast paced and challenging area.
  • Ability to work collaboratively and build and develop relationships with multiple stakeholders, communicating progress and working with shifting deadlines.
  • Is proactive about making offers of help, a self-starter, and can manage own time effectively.
  • Highly proficient in MS Office PowerPoint and very familiar with Excel. This includes formatting slides to be consistent with Octopus’ brand standards and creating financial charts in Excel.
  • Excellent written, verbal and interpersonal communication skills.
  • Detail-oriented, numerate, and quality conscious.

A previous incumbent in this role was promoted to an expanded role elsewhere in the fast-growing group. As a fast-growing business, opportunities regularly arise across the Octopus group to take on responsibilities for specific projects.
