About the role

 

The HR Team support our ambitious, high growth organisation attract and retain high performance diverse talent across the group.

 

Working together with the HR Operations and the HR Business Partner team, the HR Administrator will work to support the successful delivery of people plans across all key functional areas company-wide.

 

They will support with the roll-out and logistics for all cyclical HR activities, e.g. performance management, and the employee engagement survey process and action planning, ensuring they are all delivered consistently to a high standard. A key focus of their role is to be an internal point of contact for manager and employee queries about HR processes and issues, answering queries by email, phone, and face to face, escalating issues to the HR Business Partners where required.

 

All roles within the HR team, including the HR Administrator role, are highly visible roles across the company with the expectation that you will champion HR and help build the profile of the function across the company. Alongside colleagues in HR, the HR Administrator is responsible for championing initiatives that deepen the Octopus culture.

Responsibilities

Key accountabilities of the role are:

  • Employee Lifecycle processing
  • Probation administration
  • Maternity, Paternity and Shared Parental Leave administration
  • Visa sponsorship administration
  • OfficeVibe (employee engagement tool) administration
  • Return to Work administration (after sick leave/maternity/paternity leave)
  • Occupational Health referrals
  • Contract Extensions
  • Supporting annual HR and Payroll processes (performance and pay review)
  • Leaver Processes
  • Processing Leavers in SelectHR and ShareTrack
  • Preparing Leaver letters, processing P45s
  • Recognition
  • Manage the multiple recognition schemes we have within the company, from organising anniversary lunches to sabbaticals for long service awards.
  • Inbox management and correspondence
  • Respond to all queries that come into the Org Dev inbox
  • Act as key contact point for all employees for any queries

Qualifications

To be successful you will need to demonstrate that you …

  • Previous experience of working in HR would be advantageous, ideally with experience of working for both a large complex company and a small fast moving entrepreneurial company
  • Exceptional attention to detail and strong organisational skills; ability to handle high volumes of multiple tasks and priorities and remain calm under pressure
  • Strong administration skills with previous correspondence and diary management experience, MS outlook and excel experience
  • Possess the confidence and empathy required to cope with highly sensitive situations that arise
  • Displays integrity – sincere in own behaviour and in dealings with others
  • Self-motivated and self-aware – recognises own strengths and weaknesses and is committed to personal development
  • Results-focused – understands what is important to staff, clients and management – is committed to achieving goals and accountable for their work. Tenacious approach to delivery, quality of output and organisation
