Responsibilities

  •  Extensive diary management for senior team members’ meetings, arranging the necessary resources and logistics as required
  •  UK and European travel booking and itineraries 
  •  Handling incoming enquiries by email and telephone in a professional and helpful manner
  •  General support for the wider team including meeting room bookings, general admin requests
  •  Quarterly off-sites and dinner organisation
  •  Expense claims for senior members of the team
  •  Preparation and co-ordination of PowerPoint presentations
  •  Minute taking for investment committee meetings
  •  Support the OEAM team with preparation of documentation for investment and refinance completions. This includes collating large amounts of documentation, gathering signatures from directors, scanning etc
  •  Support the development and maintenance of the DMS system 
  •  Maintain e-filing and archiving of documentation
  •  Assist with the support of in-house legal counsel, Operations and H&S as and when required
  •  Update internal bespoke systems such as Front GP
  •  Interaction with outsourced Asset Management team in provision of data and the execution of documentation
  •  Ensure team processes and procedures are upheld
  •  Attend team meetings in order to keep abreast of team activities and provide support where required
  •  Overseeing the compliance calendar and ensuring deadlines are met by the team
  •  Work closely with other members of the support team in provision of support to wider OEI team

Qualifications

  •  Solid experience within a busy and document heavy environment – financial services beneficial but not essential
  •  High level proficiency in Word, Excel and PowerPoint
  •  Ability to handle sensitive/confidential information (e.g. regarding fund, investment and investor information)
  •  Have a high level of attention to detail and confidence to challenge potential errors
  •  Flexibility is essential, in terms of the need to switch activities to meet team members’ needs
  •  Capable of organising and coordinating multiple requests and high volumes of documentation
  •  Ability to work autonomously and as a team player 
  •  Proactive, approachable and friendly manner
